Correction of civil status data for those registered in the population registry – how does it work?

Guide to correcting personal and civil status data in official Italian records

It may happen that the population registry or civil status records contain incorrect information regarding personal data. Errors in a person’s first name, surname, date of birth, place of birth, or marital status can create difficulties when handling administrative procedures and official documents. In such cases, it is possible to request the correction of the data directly from the Municipality of residence.

The procedure is available to all citizens registered in the Resident Population Registry who notice inaccuracies in their personal data. The request may be submitted personally by the interested party; in the case of minors, however, it must be handled by one of the parents or by the legal guardian.

To obtain the correction, it is necessary to contact the Registry Office of the relevant Municipality or use the online services of the National Resident Population Registry (ANPR) by logging in with SPID credentials or an Electronic Identity Card. Through these tools, it is possible to submit a report and request the update of the information recorded in municipal archives.

For Italian citizens, the application must indicate the Municipality that holds the civil status record containing the correct information. The competent office will then request the necessary documentation to verify the situation and proceed, if possible, with the correction. Even when the citizen possesses original certificates, these cannot be used directly by the applicant due to regulations on self-certification and administrative simplification: the administration itself must obtain the necessary official records.

EU citizens and non-EU citizens holding residence permits and registered in the Italian population registry may also request changes to their personal data when, according to the laws of their country of origin, changes occur concerning their personal details or marital status. In some situations, the Registry Office may independently update the data if it receives official documentation issued by foreign authorities during administrative procedures.

Corrections may concern different types of information. Among the most common are corrections to birth data, such as surname, first name, date and place of birth, or parental information. Information regarding marital status, such as marriage or divorce, may also be updated, as well as the surname of women who, under the laws of their country, adopt or change their surname after marriage or following divorce.

To prove the accuracy of the data to be updated, official documentation must be submitted. In the case of corrections relating to birth details, a legalized birth certificate or one bearing an Apostille may be required, together with a translation into Italian. If the translation was carried out abroad, it must also be legalized or apostilled; alternatively, a sworn translation issued before an Italian court may be provided. In some cases, a declaration from the competent consulate, written in Italian and properly legalized, or a passport showing the updated personal details may also be used.

For changes concerning marriage or divorce, the corresponding official certificate must be submitted, also legalized or bearing an Apostille and accompanied by a compliant Italian translation. Foreign women who, according to the law of their country, change their surname after marriage or divorce must instead provide a declaration from the foreign authority or consulate certifying such change, together with an updated identity document.

If there are documents containing conflicting information, the administration will generally take into consideration the document issued most recently, considering it the most up-to-date and reliable.

Once the procedure has been completed, the citizen obtains the official correction of their personal data within the population registry and civil status archives. Normally, the administrative procedure is completed within thirty days from the submission of the request, unless additional checks or supplementary documentation are required.
